This article covers how long the people on your list, and your account itself, stay in SplashSend.

While your account is open

SplashSend keeps everything in your account, including people who have unsubscribed, bounced or complained. Their record is what stops them being emailed again, and it shows when they joined and when they left. The one exception is the full copy of each email as a person got it, which a View in browser link in the email opens. That copy is kept for 90 days. The record that the email went out, with its opens and clicks, stays.

To remove someone completely, first delete their form answers in Collect → Answers, because those are kept apart from the person and show as Anonymous once the person is deleted. Then open them in People, click Actions, choose Delete person and click Delete. This can't be undone. Before you delete someone who asked not to be emailed, read GDPR and UK GDPR.

If you close your account

Closing your account in Setup → Close account stops all sending straight away and cancels any scheduled campaigns. Everything in the account is permanently deleted 30 days later. Until then you can sign in, go back to Setup → Close account and click Restore my account. See Closing or restoring your account.

To keep a copy of your list first, open Everyone in People, click Export and choose a file type.

If your account goes quiet

SplashSend doesn't keep unused accounts, or the details of the people on them, for ever. An account counts as quiet when, for a whole year, nobody has signed in, no emails have gone out and nobody new has joined the list. For an account with nobody on its list, it's 90 days.

  1. When an account goes quiet, we email the account owner a warning. Signing in is enough to keep everything.
  2. If nothing changes in the next 30 days, the account is scheduled to close and sending stops. We email the owner again to say so.
  3. 30 days after that, the account and everything in it is deleted.

If you've had the second email, sign in before the date it gives. That cancels the closure and turns sending back on.

Restore my account cancels a closure that's been scheduled.

An account that's still working doesn't count as quiet. A drip or Cruise that's still sending counts as activity, and so does a form that's still bringing people in. An account on a paid plan isn't closed this way while the plan is being paid for.

Backups and service records

SplashSend copies its database every night so the service can be restored if something goes wrong, and deletes each copy after 30 days. So something you delete can stay in a backup for up to 30 days, where it's used for nothing else. Some service records are kept for a set time, for example the text of AI requests for 30 days. The products someone looks at on your website are saved as events on their record, and stay until the person is deleted or the account is closed.
