What details are
Details are the things you keep about each person beyond their email address and name. Every account starts with Birthday. If you connect Shopify, Address, Phone, Language and Shopify Tags are added for your customers. You can add as many of your own as you like, such as a favourite glaze or the class someone booked.
Adding a detail
- In People, click + Add detail at the end of the column headings.
- Give it a name, such as Favourite glaze.
- Choose its Type. For a Dropdown or Multi-select, add the options people can have, for example Oatmeal, Rust, Celadon and Tide blue.
- Click Add detail.
You can also add one from anyone's page. In their Details section, click Add detail, give it a name and a type, and click Add. Either way, the detail is there for everyone.
Types of detail
- Text and Number: words, or an amount or count.
- Date: type dd/mm/yyyy, or dd/mm for a date that comes round every year, like a birthday.
- Yes / No: a yes or no answer.
- List: several values you type yourself, separated by commas.
- Dropdown: one value from a set you choose. Multi-select: several values from the set. You can add a new option from any cell.
- Link, Email and Phone: web addresses, email addresses and phone numbers you can click.
- Image: the web address of a picture, shown as a small thumbnail.
- Location: an address. At the moment only the Shopify connection fills these in, from each customer's address, so you can't type one in.
Filling in values
- Click a cell in the People sheet, or a value on someone's page, and type or choose. It saves when you click away.
- To give lots of people the same value, tick them in the sheet and choose Edit detail.
- When you import a file, match its columns to your details. See Adding and importing people.
- A form can save someone's answer to a detail.
Using details
- In emails: in the designer, click the person icon (Personalise) in the text toolbar and pick a detail. Each person sees their own value. If someone has no value, nothing shows in its place, so write the sentence to read well either way.
- In groups: make a group from a detail, such as everyone whose Favourite glaze is Celadon.
- In drips: start a drip with A detail changes, or with A date arrives on a date such as a birthday.
Good to know
- A detail can't be renamed. If you need a different name, add a new detail.
- To delete a detail, hover over its heading in the sheet and click the bin. Everyone's value for it goes too, and this can't be undone. Birthday can't be deleted. Nor can a detail that a group, a drip or a data set uses: you're told which ones, so you can change them first.
- Columns added with Fill in details can't be edited by hand. See Filling in details for you.
